Checklist Conditional Rules

Checklist Conditional Rules allow you to create dynamic and smart checklists that adapt based on the Team Member's input. By setting a rule, you designate a trigger question (Multiple Choice or Multiple Select) whose selected answer(s) will automatically show another target question or a whole target section. This ensures Team Members only see the fields relevant to their specific situation, simplifying the checklist experience.


⚙️ How Conditional Rules Work


A rule links a Trigger (an answer choice) to a Target (a hidden question or section). The Target remains hidden on the checklist until the user selects the corresponding answer in the Trigger Question.

  • Trigger Question Types: Only Multiple Choice or Multiple Select questions can act as triggers.
  • Target Types: Any question type (Short Text, Signature, Date, Table, etc.) or an entire Section can be a target.
  • Rule Logic: The system uses OR logic. If you select multiple answers as triggers (e.g., "Yes" and "Maybe") for a rule, the target will appear if the user selects ANY of those selected answers.

🚀 Setting Up a Rule for a Question


You can set a rule on any question except the Multiple Choice/Select question you plan to use as the trigger.

  1. Navigate to the question you want to hide (the Target Question).

    Click the ADD RULE button.

    In the rule configuration panel, you must specify the following:

    • Select Trigger Question: Choose the Multiple Choice or Multiple Select question that will activate this rule.

      ⚠️ Note: When setting a rule on a Question, the Trigger Question must be in the same section as the Target Question. This is designed to promote logical flow, as the immediate preceding questions are the most likely triggers.

    • Select Trigger Answer(s): Select one or more answers from the Trigger Question that, when selected by the Team Member, will reveal this Target Question.
  2. Click Save. The Target Question is now hidden by default.

🚀 Setting Up a Rule for a Section


You can hide an entire section until a specific answer is chosen.

  1. Navigate to the section you want to hide (the Target Section).

    Click the ADD RULE button associated with the Section header.

    In the rule configuration panel, you must specify the following:

    • Select Trigger Question: Choose the Multiple Choice or Multiple Select question that will activate this rule.

      ✅ Tip: When setting a rule on a Section, the Trigger Question can be from any other section in the template.

    • Select Trigger Answer(s): Select one or more answers from the Trigger Question that, when selected by the user, will reveal this entire Target Section and all of its contents.
  2. Click Save. The Target Section and its questions are now hidden by default.

👁️ Testing and Management


Previewing Your Rules

Always use the PREVIEW function to test your conditional rules before publishing the template. This allows you to interact with the checklist and confirm that questions and sections appear/disappear exactly as intended.


Managing Existing Rules

In the Question, look for the Active Rules section.

  • Each rule is summarized, showing the trigger question and answer(s).
  • To Delete a rule, simply click the trash can or delete icon next to the summarized rule.

Template Activation

As per normal template workflow, the template must be Saved and Published before the conditional rules are made available to Team Members creating new checklists. Rules will only apply to new checklists created from the updated template.
