Filling out a Checklist
Checklists are routine inspections. This video (2 mins) explains what information you can select and add during the checklist process.
How to Complete a Checklist (Inspection or Audit Form)
1. Starting Your Checklist
You can begin an inspection in one of two ways:
Option 1: Starting Manually
- Navigate to Checklists.
- Click the + NEW CHECKLIST button.
- A menu of available Templates (e.g., "Monthly Site Audit," "Pre-Task Hazard Analysis") will appear.
- Select the required template to begin. You can also search for the template.
Option 2: Starting from a Notification
If a colleague has assigned a checklist to you, or one is scheduled to you (e.g. weekly or monthly):
- Look for a notification email
- Click the link in the email to go directly to the assigned Checklist.
2. Completing the Checklist Questions
Once the Checklist is open, you will move through sections, responding to questions based on your inspection.
- Select the appropriate answer (e.g., Pass/Fail, Yes/No) or enter the required data (text, numbers, date).
- Your progress is automatically saved as you complete questions.
Handling "Flagged" Questions and Linking Actions
Some questions are designed to "flag" a required follow-up, prompting you to Link an Action if a certain response is selected (e.g., selecting "Fail" or "No").
You will be presented with a choice between a Quick Link and a standard Link:

| Quick Link | For simple notes and immediate, minor fixes. This action displays in an overlay for fast entry, is automatically assigned to you, and is set to the COMPLETE status. | Loose bolt: "Tightened a loose bolt on the machine." |
| Link (Full Action) | For tasks that require collaboration, tracking, and scheduling. This action opens a full page activity allowing you to define the assignee, set the status, and specify a due date. | Electrical fault: "Electrical fault found [add further details]", assign to Maintenance Team, add a Due date by Friday. |
To Complete a Full Link Action:
- Select the Link option. A new, full-page action form will open.
- Enter the Action Description (what needs to be done).
- Select the Assignee (the person responsible for the follow-up).
- Set the Due Date.
- Set the Status (e.g., "To Do," "In Progress").
- Click Save to return to your Checklist.
3. Finalizing or Saving Your Work
Once you have reached the end of the Checklist:
- Review all sections and answers.
- Click the MARK AS DONE button.
- The Checklist is now submitted, report generation is triggered, and all linked actions are officially created.
- If any mandatory questions have not been responded to, you'll be prompted to complete these questions before trying to submit again
B. Saving for Later
If you cannot finish the Checklist in one session:
- Click the SAVE IN PROGRESS button.
- You can exit the checklist and even logout. Your Checklist is saved and can be accessed anytime from your In Progress list to finish later.
