Checklist custom header fields

Checklist Custom Header Fields allow you to capture critical high-level metadata - such as batch numbers and project id's - at the very top of your checklists.

Once enabled, these fields ensure consistent data collection across all templates and active checklists, and these can be populated in columns on a Filtered Checklist List.

Supported Field Types

When creating a custom header field, you can choose from three types:

  • Text
  • Numeric (numbers,
  • Date

Availability

  • Enterprise-Wide: Once created, custom header fields are available across your entire organization and can be applied to any checklist template.
Examples: Contact ID, Count, Submit At

When these are in use, these can be configured to populate columns in the Filtered Checklist Reports.

Checklist search will find all matches. In the below example, the checklist has a header field with a value of f1002.



Frequently Asked Questions

Who can see custom header fields?

Once a custom header field is added to a checklist template:

  • Checklist Admins can view the fields as read-only items within the Template Editor.
  • Other Users will see the fields on active checklists and can enter or update data in them as needed.

Do header fields appear on Public Checklists?

Yes. Any custom header fields configured on a template will be visible on shared or public checklists.


Can custom header fields be deleted?

No. Once created, header fields cannot be deleted. This ensures data integrity across historical records and prevents accidental data loss on existing checklists.


Can I edit a typo in the name, or change the field type?

No. The fields are populated on previously raised checklists, new checklists, across all sites in your enterprise. Changing an existing header field would cause flow-on issues with previous checklists and possibly at other sites. It's easiest to create a new field. Consider adding a "(do not use)" to the old field if it is no longer in use.


Can I edit a field after creating it (e.g., fix a typo or change the field type)?

No. Because header fields are tied to both active and historically completed checklists, modifying field types or names could disrupt recorded data.

If you need to make a change:

  1. Create a new custom field with the correct name or type.
  2. Update the old field name in the Template Editor to include (Do Not Use)     to prevent future selectability.

Can I choose where header fields appear on the checklist?

Header fields automatically appear in the top header section, directly above the checklist title.

  • Arrangement: Multiple fields appear side-by-side in a single row.
  • Reordering: In the Template Editor, you can click and drag fields left or right to change their display order.
  • Automatic Layout: Active checklists automatically update their visual layout to match your custom field arrangement—no manual layout editing is required.
